OUR PARTNERS AND TECHNOLOGY

It takes a big team and lots of technology

It takes a big team to manage hundreds of properties with thousands of tenants, collecting rents, managing leases, handling maintenance, move-ins, move-outs, etc. A great property manager can not do it alone, so we partner with the industry's best companies and tech solutions to help us out. This investment of money and time shows our dedication to our clients' success.

Some of the benefits of our software suite and partners are that they:

  • Allow us to scale easily depending on the season and time of year, for example, during the busy moving season of the summer, we will have all the capacity needed to show properties with short notice.
  • Work from home if the situation demands. We had set this up for snow or ice storms, but it came in pretty handy during the recent pandemic.
  • Limit personal interactions with tenants but provide excellent service. Automated rent payments and online service requests are examples of this, which are very useful during any type of storm or pandemic.
  • Automatic backups in place so we are not dependent on data in one location. Because of our technology and online partners, we have very little data stored locally. That which we do is backed up electronically and stored off-site.

Technology and Operational Tools

  • 24/7 Owner & Resident Portal Access

Owners and residents can access statements, documents, make/receive payments, service requests, and other important account information online at any time. Centralized property and financial records also give our team the context needed to answer questions and manage each home consistently.

  • Workflow & Processes Management

Structured workflows, reminders, and team handoffs keep recurring tasks moving without relying on individual memory. This supports consistent follow-up, clearer accountability, and fewer delays throughout the management cycle.

  • Professional Applicant Screening

Specialized screening support organizes relevant applicant information and helps established screening criteria be applied consistently. This reduces guesswork and supports fair, well-documented placement decisions.

This includes and is not limited to, available rental payment and collection history, which adds useful context during application review. Used alongside the rest of the screening criteria, it supports a more complete and consistent evaluation.

  • Online Self-Showing Scheduling

Prospective residents can request and manage showing appointments online, even with short notice, with confirmations and reminders provided automatically. This reduces scheduling friction, limits missed appointments, and keeps qualified interest moving.

  • Virtual Phone Tree & Smart Call Routing

Calls and messages are directed to the appropriate team so questions reach the right place with fewer transfers and delays. Centralized communication also helps maintain continuity when several team members are involved.

  • Data-Informed Rental Pricing

Local rental comparisons help our team evaluate market conditions and recommend pricing based on current competition. Combined with the property’s condition, features, and other leasing activity, this supports balanced decisions intended to protect income and reduce avoidable vacancy.

  • Photo-Documented Property Reviews

Standardized property reviews organize photos, notes, and condition records at periodic reviews. Clear documentation during tenancy helps identify maintenance needs, track changes over time, and communicate findings effectively.

  • Team Collaboration & Document Management

Shared documents, calendars, and communication tools keep authorized team members aligned throughout the operation. Organized access to current information reduces delays and helps work continue smoothly across departments.

  • Automated Direct-Mail Delivery

Timely letters and notices can be prepared and mailed through a consistent process. This reduces manual handling, supports prompt delivery, and maintains a clearer record of important correspondence.

  • Pet / Assistance Animal Documentation & Processing

A centralized process organizes household-pet profiles and documentation related to assistance-animal accommodation requests. Keeping these paths separate supports consistent pet policy administration, appropriate review of accommodation requests, and clearer communication.

  • Professional Rental Photography

Professional photography and quality review help each rental listing present clearly and consistently across marketing channels. Strong visuals give prospective residents a better first impression and help owners bring properties to market with confidence.

  • Controlled Property Access

Controlled access tools help coordinate approved showings, property reviews, and vendor visits while reducing physical key handoffs. Clear access records improve accountability and help appointments move forward with fewer scheduling delays.

  • Workflow & Process Automation

Behind-the-scenes automation moves routine information between systems and initiates the next step when needed. This reduces duplicate entry, improves consistency, and gives our team more time to focus on owners, residents, vendors, and property needs.

  • Resident Benefits Package

Depending on the selected package, residents may receive services such as rent reporting, identity protection, pest support, move-in assistance, rewards, or insurance-related benefits. Centralized administration makes those benefits easier to understand and access while helping our team deliver them consistently.

  • Scheduled HVAC Filter Delivery

Correctly sized HVAC filters (including specialty filters) are delivered on a recurring schedule, making routine replacement easier for residents. Regular filter changes support system performance, preventive maintenance, and the long-term care of the home.

  • Preferred Vendor Network

Holland maintains a broad network of preferred cleaners, painters, flooring specialists, appliance technicians, plumbers, electricians, roofers, and other service professionals. We screen and manage these relationships so we can match the appropriate vendor to each job, coordinate work efficiently, and help protect property condition, resident satisfaction, and owner investment.

Additional Operational Support

  • General Contracting & Repairs Support

Experienced contracting support helps coordinate repairs, renovations, make-ready work, and interior and exterior maintenance. Established working relationships help projects move efficiently from scope through completion and reduce unnecessary handoff delays.

  • Dedicated In-House Collections Support

Focused collections support provides individualized account review and professional follow-up on unresolved balances. Consistent, documented attention helps strengthen recovery efforts while keeping communication organized and appropriate.

Financial Operations

  • Banking Support

A dedicated banking relationship supports organized financial operations, responsive assistance, and reliable account administration. This helps our accounting team maintain consistent processes and clear oversight.

  • Accounting & Payroll Platforms

Dedicated financial and tracking systems support accounting and payroll administration. Organized back-office processes help keep records consistent and allow the client-facing team to focus on service.

Professional Education & Industry Engagement

  • Industry Education & Process Improvement

Participation in property management conferences and peer-learning events exposes our team to practical ideas, emerging practices, and operational improvements. We evaluate those insights and apply the ones that can strengthen service, efficiency, and consistency.
