Thank you for placing your trust in Holland Properties for the management of your property. We look forward to a successful partnership in realizing your investment property goals. As your property transitions into our management, here are some key considerations.
Your Dedicated Support Team
We manage portfolios in small 4 people teams that we call "Pods". Each pod member has a specific function in the safekeeping of your investment property:
Pod Leader

Your main point of contact and the person responsible for ensuring your questions are answered, overseeing that your property is in tip-top shape, rented and profitable.
Leasing Coordinator

Leasing coordinators are experts on all things rentals, handling everything from scheduling self-showings to tenant move-ins. They are the friendly face that keeps the leasing process running smoothly.
Resident Services Coordinator

This person takes care of the tenants once they've settled in. They're the go-to for ensuring tenants follow community and Holland Properties guidelines, renew leases, and schedule periodic property reviews.
Maintenance Coordinator

Are tenants reporting leaky faucets or broken windows? The maintenance coordinator is in charge of communicating with licensed vendors and ensuring all these issues are taken care of while maintaining the value of your investment.
If Your Property is Currently Vacant or You Are Moving Out
Getting your property ready for new tenants is our top priority. Here’s a quick guide to what we need from you to make the transition smooth and efficient.

- Your First Steps
- Paperwork: Please complete all the necessary owner paperwork found on our dedicated forms page.
- Setting up your bank account: This is essential for receiving timely and secure direct deposits of your rental income. You can set it up from your online portal.
2. Keys and Access
- Send us one main door key and one mailbox key to our office. (If mailing, please tape keys securely to paper, no loose keys!)
- At the property, leave the following securely inside a kitchen drawer:
- Two extra main door keys
- Three keys for any other door locks (like side doors or sheds)
- Two mailbox keys
- Garage door openers
- Any
HOA amenity key fobs or
parking passes. (Heads up: if these are missing, the HOA will charge us to order them, and that cost will be billed to your property.)
3. Property Preparations
- Remove everything personal. This means all indoor/outdoor furniture, play sets, electronics, building materials, extra firewood, and any other personal items.
- Clear out chemicals. Please remove all cleaning supplies, fertilizers, weed killers, etc.
- Address odors. Make sure there are no lingering pet, smoking, cooking, or incense smells.
- Leave the essentials. Take down shower curtains and window curtains, but please leave the rods.
- Paint & Appliances. If you have them, leave appliance instructions inside and any touch-up paint cans (matching, please!) in the garage.
4. Mail Forwarding
- Don't forget to
forward your mail with USPS, Amazon, and any other delivery services.
5. Yard Care
- Please continue yard maintenance until a tenant moves in.
6. Working on Your Property
- Property Review: We'll do an initial walkthrough to assess any needed repairs.
- Get It Ready: We'll arrange for necessary work, professional cleaning, and stunning photos.
- Market & Lease: We'll finalize pricing with you, list your home on 34 websites, conduct showings, screen applicants, and get your property rented!

Please note that there are no estimates on the initial work order. Time is of essence and the work will be completed on a time and material basis. You may choose to complete the work yourself, but it may likely slow down the process besides requiring an additional property review to ensure work is up to standards (which will be additionally charged to your property).
If the property requires a major project (interior/exterior painting, flooring replacement, appliance replacement, etc.), there will be a 10% coordination fee for project coordination.
Our goal is to get your property in rent-ready condition and marketed as quickly as possible. This is a general process, but every property is different. Rest assured your pod will be in touch with you about your particular situation.
If Your Property Is Currently Occupied by Tenants
We're here to make the transition of managing your already-occupied property seamless for both you and your current tenants.

3. Information Transfer
- If you're transitioning from another property manager, we'll handle all the details of collecting the current lease, security deposit info, and move-in reports directly from them. Please fill out the sections of paperwork with the previous property manager's information.
- We will also ask the previous property manager for the current tenant's security deposit.
4. Tenant Introduction
- We'll gently introduce ourselves to your current tenants as their new property management team.
- They will be setup in their tenant portal where they will register to schedule rent payments, see property review reports and report any issues at the property by creating work orders.
5. Smooth Transition:
- Our team will review the existing lease to ensure a smooth continuation of management, handling all tenant communications and maintenance requests moving forward.
